Daycare monthly financial report
A daycare report should start with enrollment by room. Revenue and staffing both follow it.
The six numbers for a daycare
| Number | How to work it out | What it warns you about |
|---|---|---|
| Enrollment against licensed capacity | Children enrolled ÷ licensed spots | Empty spots in staffed rooms |
| Tuition collected against billed | Collected ÷ billed | Late families adding up |
| Staff cost, share of revenue | All payroll ÷ revenue | Rooms staffed above what enrollment pays for |
| Subsidy revenue, share of total | Subsidy payments ÷ revenue | The part of revenue that pays late |
| Waitlist by age group | From your enrollment list | Where a new room would fill |
| Weeks of payroll in the bank | Cash ÷ weekly payroll | Room for a slow enrollment month |
Use these six in place of the general ones on the template's Report tab.
What to watch in a daycare
- Open spots in rooms that are fully staffed
- Late tuition from a few families adding up
- Summer enrollment changes when school-age children leave
